Why Some Document Request Emails Do Not Include a Hyperlink

Overview

You may receive a TraceGains Gather® notification email that tells you to click a hyperlink to complete a request. In some cases, the email may not show a hyperlink next to the requested document. This usually means the request is for a standard document requirement, not an Online Form.

This article explains the difference between document requests and Online Forms, when a hyperlink is expected, and what to do if no hyperlink appears.

Document Requests vs. Online Forms

Gather supports different types of customer requests. Some requests require you to upload or submit a file, while others require you to complete an Online Form directly in Gather.

Request type What it means How you respond
Document request Your customer needs a copy of a document, such as a certificate, audit report, HACCP plan, or other file. Log in to Gather, open the request, and upload or select the correct document from your Document Library.
Online Form Your customer needs you to complete a TraceGains form, such as a questionnaire or structured supplier, item, or location form. Click the form link from the email or open the request in Gather, complete the required fields, and submit the form.

When a Hyperlink Will Appear

A hyperlink usually appears when the request includes an Online Form. The link takes you to the form so you can log in, complete the missing information, and submit it back to your customer.

You may see a link when the notification includes wording like:

  • Click one of the hyperlinks under Required Document Group.
  • Complete and submit the Online Form.
  • Return to this message and follow the steps above for any remaining hyperlinks.

When No Hyperlink Is Expected

No hyperlink may appear when the request is for a standard document requirement. In this case, there is not a form to open from the email. Instead, you should log in to TraceGains Gather®, go to Customer Management, and respond to the request from the Requests area.

For example, if your customer requests a GFSI Audit Report, HACCP Plan, Food Defense Plan Statement, or similar document, you may need to upload the file or choose an existing document from your Document Library. Because these are document uploads, the document name may appear in the email without a clickable link.

Example email wording: We need the following documents and Online Forms so you can stay up to date. Click one of the hyperlinks under Required Document Group. Log in with your TraceGains account, complete the Online Form, and submit it.

What this means: At least one request in the email is an Online Form. A hyperlink should appear for the form request so you can open and complete it.

Example: Notification Without a Link

Example email wording: Required Document Group: GFSI Audit Report. Status: Missing. Expiration: N/A. Days Until Expiry: N/A.

What this means: The request is for a document file, not an Online Form. A hyperlink may not appear in the email. Log in to Gather and open the request to upload or select the needed document.

What to Do Next

  1. Log in to TraceGains Gather®.
  2. Open your Supplier Group.
  3. Go to Customer Management.
  4. Open Requests and find the missing document or form.
  5. If it is a document request, upload the file or select an existing document from your Document Library.
  6. If it is an Online Form, open the form, complete the required fields, and submit it.

Troubleshooting

  • I do not see a hyperlink in the email. The request may be for a standard document requirement. Log in to Gather and check your Requests area.
  • The email says to click a hyperlink, but nothing is linked. Review the Required Document Group list. If the listed item is a document, no link may be expected.
  • I am not sure whether the request is a document or form. Open the request in Gather. Online Forms open as forms to complete. Document requests ask you to upload or choose a file.
  • I still cannot find the request. Confirm you are in the correct Supplier Group and Customer Management area. If the request is still missing, contact TraceGains Network Support or your customer contact.
