Utilizing PostOnce™

What is PostOnce™?

The PostOnce recommendation engine is a feature that greatly accelerates the process of providing documents to your customers across the TraceGains Gather® platform.

Why Use PostOnce?

The PostOnce recommendation engine uses your past activity on the platform to provide recommendations when you perform the following actions:

  • Accept a location or item connection request
  • Fulfill one or more document requests
  • Replace a document associated with a location or item listing that has been shared to one or more customers
  • Replace a document within the Document Library associated with a location or item listing that has been shared to one or more customers.

Whenever you fulfill a document request, PostOnce will look at the document type and the associated locations and items to determine if the same document can be used to fulfill other open requests.

Using PostOnce to Fulfill Multiple Requests

Step 1: Go to the Customer Management > Document Requests section.

Step 2: Select one of the options: New, In process, Expiring soon, or Complete. For this example, we will select New and filter for Ingredient Statement.

Step 3: Select Choose Action > Upload File or Add from Library. For this example, we will select Upload file.

Step 4: If there are any other open requests from other customers that could potentially be fulfilled using the document you just uploaded, a blue pop up will appear with the message "PostOnce has .. recommendation to help you fulfill document requests faster." To use this option, please click on the Go to PostOnce button in the lower right of that pop up window.

Step 5: Clicking this button will open a modal with recommendations for all the other requests from customers asking for the same document. Click 'Send Document' to use the document to fulfill all other open requests OR deselect any customers that you don’t want to send the document to. Perhaps some customers require a custom document type and must be handled separately. Otherwise, take advantage of PostOnce to make your job easier!

Using Recommendations to Fulfill Requests

You can also accept recommendations when a document has been added to an item or location that would be a likely candidate to fulfill a pending request.

Step 1: In the Document Requests section of Customer Management, look for the circled checkmark located between the comment bubble and the 'Requested' date. When this checkmark is blue, it indicates there is a potential recommendation to use.

Step 2: When you click on the 'choose action' button on the right, you’ll see the option to 'Use recommendation'. A pop-up will display the file that has been suggested to fulfill this request.

Step 3: If the file is a match, input the effective date and expiration date if needed. Click ‘Send Document’.

The recommendation engine is most successful when you proactively add documents to your items and locations. Then when requests come in, the recommendation engine can help automate and speed up the process of fulfilling those requests.

Using PostOnce to Auto-Fulfill Customer Requests

When a customer within the TraceGains network sends you a location or item level connection request, you may be able to use PostOnce to auto-fulfill the customers' requests.

If you have location-level documents existing in the system that match the document requirements set by your customer, PostOnce will suggest using those documents to auto-fulfill requests when you accept the connection.

If you have item-level documents existing in the system that match the document requirements set by your customer, PostOnce will suggest using those documents to auto-fulfill item-level document requests as soon as you accept the connection.

Using PostOnce to update documents for all customers

When a document used to fulfill a request expires, the request will go from ‘Complete’ back to the ‘In-Process’ tab within Document Requests. When you upload a new updated document to replace the expired one, PostOnce will give you the option to replace the expired document for any other customer requests also fulfilled by that same document.
