TraceGains email notifications may come from different places, and the best way to reduce or manage them is to first understand where the email is coming from. Some messages are generated from Gather, while others may come from a customer or Enterprise site, especially when a supplier has not yet accepted a Gather connection.
This article explains why you may receive TraceGains emails, how to identify the source of a notification, which notification settings you may be able to update yourself, and when changes may need to be made by your customer or TraceGains administrator.
Why am I receiving TraceGains emails?
Start by identifying where the email is coming from
Not all TraceGains emails are controlled in the same place. Before trying to unsubscribe or contacting Support, review the email for clues about its source, such as the product area, customer name, request type, document name, workflow, or sender branding.
Use the following guidance to help determine what type of notification you received:
- If the email is from Gather: The notification may be tied to your Gather role, contact type, assigned work, or document/specification activity.
- If the email is customer-branded or references a customer site: The notification may be controlled by the customer or Enterprise site rather than by your supplier Gather settings.
- If you have not accepted a Gather connection: Some notifications may continue to come from the customer or Enterprise site and may be sent to the primary contacts listed there.
- If you are listed as a primary contact: You may receive notifications because the customer has identified you as a contact for requests, documents, or other supplier-related activity.
- If you are a Gather admin, document contact, or specification contact: You may receive weekly Gather notifications or activity summaries based on those roles or contact types.
Can Support unsubscribe me from all emails?
Support may be able to help you identify why you are receiving a notification, but there is not one global unsubscribe option that removes a user from every TraceGains email. Some notifications are tied to required system activity, assigned responsibilities, customer-owned contact lists, or Gather roles/contact types.
If an email is required for system access, compliance activity, document fulfillment, or assigned work, it may not be optional.
If the source of the email is controlled by a customer, Support cannot freely edit the customer’s contact lists or notification configuration. In those cases, the supplier may need to contact the customer directly to request an update.
What can I update myself?
What you can change depends on the notification source. In Gather, some users can reduce certain notifications by reviewing and updating their assigned roles or contact types. For example, Gather admins, document contacts, specification contacts, and other selected contact roles may receive weekly notifications or related activity emails.
Customers can send email notifications to individual contacts listed on the account and/or to users with specific contact types selected in their Gather Group profile. For document request email notifications, customers commonly select the Admin and/or Documents contact types.
- Supplier-managed in Gather: Review your Gather role, contact type, document contact assignments, and specification contact assignments. If you are listed as a Gather admin, you may receive more notifications simply because admins are included in broader notification groups.
- Administrator-managed in Gather: If you cannot update a role or contact type yourself, your Gather administrator may need to make the change.
- Customer-controlled: If the email comes from a customer or Enterprise site, the customer may need to update the primary contact, request contact, or other contact list used for the notification.
- Required or system-generated: Some notifications support access, security, compliance, document fulfillment, or assigned work and may not be available to disable.
Please note: Users in the Admin role may still receive connection requests and new user request emails, even if no contact types are selected.
How do I reduce notifications?
- Review the email source: Look for the product area, customer branding, request type, document name, workflow, sender information, or supplier/customer name referenced in the message.
- Determine whether the email is from Gather or a customer site: If the email appears to come from a customer or Enterprise site, the customer may control the contact list or request that generated it.
- Review your Gather roles and contact types: If the email is from Gather, check whether you are listed as a Gather admin, document contact, specification contact, or another selected contact role.
- Update what you can: If you have permission, update your Gather role or contact type assignments to reduce notifications that are no longer relevant.
- Contact the right owner: If you cannot make the change yourself, contact your Gather administrator. If the notification is customer-controlled, contact the customer to request an update to the appropriate contact list.
Review or update contact types
If you have permission to manage users in Gather, you can review or update contact types from your account settings:
- Click your company logo icon in the upper-right corner.
- Select Company Settings.
- Click Users on the left side.
- Select the user’s name to open their properties.
- Check or uncheck the appropriate contact types.
- Click Save to apply the changes.
Removing the Admin and/or Documents contact type may also stop weekly status emails sent on Sundays. However, users in the Admin role may still receive certain system-related emails, such as connection requests and new user request notifications.
If only specific people should receive emails from certain customers, work directly with the customer to confirm which contacts should be included for those notifications.
Why did changing one setting not stop all emails?
Notifications may come from multiple sources, so changing one setting does not always stop every email. A Gather role update may reduce Gather-generated notifications, but it will not change a customer-owned primary contact list or notifications generated from an Enterprise site.
For example, if you are removed as a Gather document contact, you may still receive customer-branded notifications if the customer site still lists you as a primary contact.
When should I contact Support?
Contact TraceGains Support if you cannot identify the source of an email or if you believe a notification is being sent in error. Include the full email notification, sender information, subject line, customer or supplier name, and any request, workflow, or document details shown in the message. Support can help review the notification source, but changes to customer-owned contact lists may need to be requested directly from the customer.
